Refund and Cancellation Policy

Plain English Summary
Here's the short version:
- First time signing up? You have 7 days and one class to change your mind for a full refund.
- Drop-in classes? Non-refundable once the class starts, but we'll credit you if you cancel before.
- Monthly subscription? You can cancel anytime — your access runs to the end of the month you paid for.
- Festival tickets? Have their own rules, communicated at the time of sale.
- Something exceptional happened? Talk to us. We're reasonable.
The detail is below.
1. The Try-It-Out Guarantee
Your first ever payment to the Academy comes with a 7-day, full-refund guarantee, provided you have attended no more than one class.
- When it applies: First-time members only, within 7 days of your first payment.
- Refund amount: 100% of what you paid.
- How to claim: Email hello@amazingdanceacademy.com with your reference number. Refund processed within 7 business days, returned via the same method you paid.
- What disqualifies it: Attending more than one class, or claiming after the 7-day window.
This is our way of saying try it without risk.
2. Drop-In Classes
A drop-in class is a single class paid for individually (currently K80).
Before the class starts:
- Cancel up to 2 hours before the class begins and receive a credit for any future class.
- Cancel less than 2 hours before — the fee is forfeited, but in genuine emergencies (medical, family) we may offer a credit at our discretion.
After the class has started:
- No refund. You may leave at any time if you're not enjoying it, but the fee is non-refundable once the class is in session.
3. Monthly Subscriptions
3.1 Cancelling
You may cancel your monthly subscription at any time:
- From your member dashboard (preferred — fastest), or
- By email to hello@amazingdanceacademy.com
Your access continues until the end of the period you've already paid for. No partial refund is given for the unused portion of the current month, but you can keep attending until your access expires.
Example: You paid for a month on the 1st and cancel on the 10th. You can still attend classes from the 10th to the 30th. No further charges occur.
3.2 Refunds during a paid month
Monthly subscriptions are generally non-refundable mid-month, with three exceptions:

Try-It-Out Guarantee (Section 1): Full refund within 7 days of your first ever payment.

Medical emergency or serious injury: If you become unable to attend due to medical reasons (with a doctor's note), we will refund the pro-rated unused portion OR freeze your account (your choice). See Section 4.

Relocation outside Lusaka: If you move and can no longer attend, we will refund the pro-rated unused portion on receipt of reasonable evidence.

3.3 Pausing / freezing your membership
Rather than cancelling, you may pause your membership:
- Length: Up to 30 days at a time.
- Frequency: Up to twice per year.
- Cost: Free.
- How: Email hello@amazingdanceacademy.com at least 7 days before the requested pause start date.
- Effect: Your subscription pauses, your renewal date pushes forward by the pause length, your QR card is temporarily inactive.
Pauses cannot be backdated. If you forget to request one in advance, we cannot pause retroactively, but you may still cancel going forward.
4. Medical Pause or Refund
If a medical issue prevents you from attending:
- Email hello@amazingdanceacademy.com with brief details (we don't need your full medical history — a doctor's note confirming inability to participate in dance for a stated period is enough).
- You may choose either a pro-rated refund or a free extension/freeze of your membership for the duration of recovery.
- For longer-term medical issues (3+ months), we can keep your membership dormant at no cost until you're ready to return.
5. Plan Changes
5.1 Upgrading
You can upgrade your plan at any time. The upgrade takes effect immediately, and the price difference is charged pro-rata for the rest of the current period.
5.2 Downgrading
You can downgrade your plan, with the new (lower) plan taking effect at the start of your next billing period. You won't be refunded the difference for the current period.
5.3 Switching between styles
If your plan is limited to one style (e.g. Starter plan, 4 classes/month, one style focus), you can change which style you're attending by emailing us. We'll update your account.
6. When We Cancel a Class
We aim to run every scheduled class, but sometimes a class is cancelled (instructor illness, venue issues, force majeure).
- Drop-in attendees: Refunded in full or credited for a future class (your choice).
- Monthly subscribers: No refund per cancelled class — that's the nature of an unlimited or flexible plan — but if we cancel multiple classes in a row, we will compensate fairly (additional classes, partial credits, etc.). We will not let our cancellations cost our members money.
7. Festival Tickets
The Amazing Festival (the VickFalls Experience) operates under separate ticketing terms. Generally:
- Standard tickets: Refundable up to 30 days before the event, after which they are non-refundable but transferable to another person.
- Early-bird tickets: Non-refundable but transferable to another person.
- Travel packages: Subject to the cancellation terms of the travel and accommodation providers we work with.
Specific refund and transfer rules will be communicated clearly at the point of ticket sale.
8. Discount Codes, Complimentary Memberships, and Referrals
- Complimentary memberships (free passes, gifts) cannot be refunded for cash since no money was paid.
- Discounted memberships are refunded only at the discounted price actually paid, not the full price.
- Referral discounts are non-transferable. If you cancel, the discount on your next month does not transfer to anyone else.
9. How Refunds Are Paid
- Refunds are returned via the same method used to pay (e.g. MTN Money refund to the MTN number you paid from).
- Processing time: typically 3–7 business days from approval.
- We never issue refunds in cash for online payments.
10. Charge-Backs
If you dispute a payment with your mobile money provider or bank without first contacting us, your membership will be suspended pending resolution. We strongly prefer that you raise concerns with us directly — we resolve almost everything quickly and fairly when we know about it.
11. Time Limit on Claims
Refund and credit claims must be made within 60 days of the relevant payment or event. After 60 days, the right to claim a refund expires, except in cases of significant Academy error.
12. When Membership is Suspended or Terminated by Us
If we suspend or terminate your membership for a violation of our Code of Conduct or Terms of Service:
- Minor violations (warning leading to suspension): Suspension does not entitle you to a refund, but the days lost may be added back to your subscription on reinstatement.
- Serious violations (immediate termination): No refund. Any unused portion of your subscription is forfeited.
This is a deliberate part of how we keep the community safe — we won't refund someone whose behaviour has harmed others.
13. Disputes
If you believe a refund decision is unfair:
- First, reply to our decision email. A second reviewer (one of the founders) will look at your case.
- If unresolved, we will agree on a fair mediator with you.
- As a last resort, you may pursue the matter through the Zambian courts under our Terms of Service.
Most refund issues are resolved in one or two emails. We try hard to be fair.
